Specialist, Marketing

SUMMARY
This position is primarily responsible for supporting the Marketing team for Discover The Palm Beaches (DTPB) in a wide array of ongoing marketing programs, partnership marketing initiatives, special projects and departmental administration. The position entails coordinating marketing initiatives, administrative support and special projects to reach and influence customer visitation. The position will be involved in a blend of marketing / administrative support functions which serve as foundational elements within the marketing department.
 
ESSENTIAL DUTIES AND RESPONSIBILITIES
 

  • Provides support on key departmental projects (Advertising, Digital, Public Relations, Social Media, Content Development, Community Engagement, Leisure Sales) as directed.
  • Compiles content and reviews positioning and listings for industry business on ThePalmBeaches.com and in all print collateral.
  • Reviews aging reports from Finance for the Partnership Marketing Program and ensures updated information is compiled in all department reports.
  • Ensures Customer Relationship Management (CRM) system is updated frequently with any and all business contact changes, additions, listing updates and photo uploads
  • Monitors the Partnership marketing inbox and reviews individual business inquires to DTPB and brings each one to full resolution in a timely manner.
  • Provides direct support to the SVP, Marketing, Leisure Sales and Community Engagement as directed.
  • Supports day-to-day marketing administrative functions (scheduling, filing, calendars, calls, travel arrangements, etc.)
  • Assists in department learning/development events and special projects.
  • Supports specific meeting agendas (i.e. weekly team meetings, TDC agency meetings, etc.) with appropriate content.
  • Works with team to compile data and relevant information for monthly DTPB/TDC Board reports.
  • Supports stakeholder meetings (i.e. Marketing Advisory Committee, etc.) including planning, presentations, execution and follow up.
  • Assists with procurement process as needed.
  • Processes invoices and purchase orders for the department; adhering to financial guidelines.
  • Regularly attends/participates in DTPB events and other community engagement opportunities.
  • Supports trademark procedures and contract monitoring, ensuring brand standards are upheld.
  • Other duties as assigned.

QUALIFICATION, EDUCATION, EXPERIENCE
 

  • Enthusiasm for continued learning and professional development.
  • Education (4-year degree) in business, marketing, advertising, journalism, hospitality or work experience equivalent
  • Experience in travel, tourism and hospitality industry a plus
  • Familiarization with marketing, advertising and creative principles
  • Ability to handle administrative functions in support of marketing leadership/ organization
  • Experience in managing or trafficking projects
  • Must have strong interpersonal skills, a teamwork mindset and a drive for results
  • Strong writing and proofreading skills
  • Team player with a positive cooperative attitude
  • Ability to review marketing materials and campaign to ensure adherence to brand standards
  • Comprehensive background in MS Office suite of programs: Word, Excel, Outlook, PowerPoint
  • Basic knowledge of design software such as Adobe InDesign and Acrobat Professional to execute marketing tasks
  • Ability to support CRM/database management, email tools
  • Great organizational and time management
  • Must be able to prioritize and multi-task to complete assignments within predefined time limits
  • Multi-lingual is a plus
  • Self- motivated, self-starter able to work independently
  • Must be quick learner and be able to adapt to a changing environment
  • Must have the ability to identify problems and provide reasonable solutions
  • Must be able to travel as needed (limited basis)
